About the position ๐Ÿ’ผ

Our team is growing, and so is our office! In October 2026, we will have 3 full floors at Hailey HQ in Hornstull - and we're looking for our next team member to strengthen our office experience ๐ŸŒŸ

As Office Coordinator at Hailey, you will get the opportunity to set the tone for the day for all your colleagues, being the first person they see in the morning! You will be the heart of our (new!) reception, ensuring that everyone feels welcomed from the moment they walk in to Hailey.

You will be a part of our People & Culture team, working closely with our Office Manager who is responsible for the full office space. Together, you will improve our best practices to work with daily office operations, and find new initiatives that contributes to the office experience.

The role also includes ownership of our meeting room experience, managing the bookings for customer & candidate meetings, and coordinate the logistics for our larger meeting rooms to ensure everything runs smoothly for our teams and guests.

Examples of tasks:

  • Staffing the reception during certain working hours, welcoming colleagues & guests to the office.
  • Daily operations within office, such as; being the contact person for breakfast/fruit deliveries, purchase office supplies, daily rounds in the office to ensure everything looks nice & tidy, manage mail and packages.
  • Supporting Office Manager in internal event planning & coordinating, employee gifts and other fun office tasks!

What are we looking for?

  • Full professional fluency in Swedish and strong English skills, both spoken and written.
  • Upper secondary school diploma/Gymnasie-examen.
  • 1-3 years of experience within service. We're looking for someone who is used to meet a lot of people, and deliver a great service experience. Maybe youโ€™ve worked in a front desk, hotel or restaurant - weโ€™re open for different backgrounds within service.

  • Flexible:ย Hailey is constantly growing and changing, there will be changes! We believe that you are flexible and open to these changes, to constantly adapt to our ways of working.
